Global search in detail

Global search is the quick-entry point in the portal header. It searches only objects available to you and opens the right context without requiring a separate module search. It is a navigation aid and does not expand your access.

Query and result pages

Select the search icon and enter part of a title, message, identifier, or other searchable text. Results load shortly after you type; an empty query does nothing. Select Show more to load additional results.

The header popup uses hybrid mode. Keyword and semantic modes are available only where a supported module exposes them. A card can contain a title, preview, domain and type badges, priority, and highlights; open the source before relying on a short preview.

Search modes and result scope

Supported modules may offer keyword (remembered words), semantic (remembered meaning), and hybrid (both) modes. Results are limited to accessible objects and grouped by entity.

Domains and badges

Depending on configuration, domains include tasks, chat, CRM, workflow, telephony, mailbox, Telegram, WhatsApp, site forms, reminders, documents, disk, and extranet. A badge is only a presentation label and does not grant access.

Open and act

Select a result to open its link or object context. Tasks and CRM opportunities may open as an overlay; mailbox results may open in the inbox. Available actions depend on your rights and the current state. If an action is rejected, open the source, refresh it, and verify the state instead of repeating a destructive action.

Safe result actions

Cards may offer opening the source, replying in chat, marking an item read, changing a task status, completing a workflow task, or muting an object. A visible button is not a promise that the operation will succeed. If an action is rejected, open and refresh the source and do not repeat a potentially destructive action blindly.

Focus and keyboard

Use Arrow Up/Arrow Down to move focus, Enter to open the active result, and Escape to close the popup. On narrow or RTL views, verify that it stays within the visible area.

Clicking outside removes focus and closes the popup. On narrow or RTL views, verify that it does not cover the preview or action controls.

A partial list can appear while search is updating. Wait, narrow the query, and open the source module if needed; do not assume the object is absent.

Indexing and partial results

An “index updating” or mailbox-readiness notice means results may be incomplete. Retry later and open the source module if needed. An empty result can also mean that an object is archived or outside your access.

Results depend on permissions and archive state: if a colleague can see an object you cannot, check module and record access before assuming it was deleted. An empty result may mean a broad query, an archived object, or missing access; refine the query and verify the source before changing data.

Privacy and safe demonstrations

Search combines many modules in one view. For training use synthetic people, clients, mailboxes, documents, links, and channel names. Review previews, highlights, actor names, URLs, attachments, and action notices for real addresses, tokens, internal IDs, customer data, or technical errors. Keep demonstrations free of money and secrets. For Arabic, review RTL direction, truncation, dates, numbers, and localized domain labels.

Mobile and narrow width

On a narrow screen, the search panel must remain fully visible without horizontal scrolling. Check that the search field, close button, and hints are available to keyboard and screen-reader users, that focus moves to the field on open and returns to the search button on close. Move through results with the arrow keys, open the selected result with Enter, and make sure card actions are usable without clipping; in RTL, check the mirrored placement of the panel, icons, and buttons. If a result or action does not fit, shorten the query or dismiss secondary hints and retry instead of scrolling the page horizontally.
